A sales to operations handoff checklist transfers the commitments behind a sale to the team responsible for delivery. The receiving owner must accept the brief before a kickoff date becomes a customer promise.
Download the editable CSV worksheet. Open it in your spreadsheet application, keep the instructions, and complete the blank entry, owner, due date, and evidence columns. This is a blank planning tool; the example below is illustrative.
When to use this worksheet
Use it with the manager who owns this workflow and one person who performs the work. Bring a recent completed case and a recent exception. Compare the worksheet with those records before adopting it as a team standard. If an existing system already stores these details, use its fields rather than maintaining two competing records.
Template fields and completion checklist
| Field | What to record |
|---|---|
| Signed scope | Link the accepted agreement and list exclusions. |
| Customer outcome | Record what the buyer expects to be different after delivery. |
| Promises and constraints | Include unusual deadlines, integrations, and dependencies. |
| Commercial status | Record payment prerequisites and approved billing terms. |
| Delivery owner | Name the person accepting responsibility and their backup. |
| Acceptance decision | Accepted, returned for clarification, or conditionally accepted with named blockers. |
How to put the process into practice
Ask sales to complete the brief using the signed agreement and discovery notes. Label assumptions explicitly instead of presenting them as accepted scope.
Have delivery check effort, staffing, access, and deadlines. Return incomplete briefs with a specific missing item and a responsible person.
Introduce the customer to the delivery owner with the next action and confirmed date. Keep unresolved sales promises visible through the first milestone.
Worked example
Illustrative example: a seller promises a CRM migration before month-end, but delivery discovers that the customer has not provided an export. The handoff records data access as a blocking dependency. Delivery offers a revised date tied to receipt of a usable export, and sales confirms that change with the buyer before kickoff.
Common mistake to avoid
Changing a CRM stage to closed-won is not evidence that delivery accepted the job. Separate commercial close from operational acceptance so sold work does not silently enter an unstaffed queue.
What to measure after implementation
Measure time from signature to accepted handoff, returned briefs, and first-milestone delays caused by missing sales information.
Review the first completed worksheet
Before expanding this process, have the responsible manager check one completed record against the original evidence. Confirm that another team member can understand the next action without asking the author to explain it. Record any missing information as a revision to the worksheet. Choose a review date based on how often the workflow runs; a weekly process gives feedback sooner than a quarterly one.
