A lead response service standard defines when a new inquiry receives a useful human response and who covers the queue. Set a realistic promise based on staffing and business hours rather than an arbitrary speed target.
Download the editable CSV worksheet. Open it in your spreadsheet application, keep the instructions, and complete the blank entry, owner, due date, and evidence columns. This is a blank planning tool; the example below is illustrative.
When to use this worksheet
Use it with the manager who owns this workflow and one person who performs the work. Bring a recent completed case and a recent exception. Compare the worksheet with those records before adopting it as a team standard. If an existing system already stores these details, use its fields rather than maintaining two competing records.
Template fields and completion checklist
| Field | What to record |
|---|---|
| Lead type | Separate quote requests, referrals, general questions, and existing-client issues. |
| Coverage hours | Specify days, time zone, holidays, and after-hours handling. |
| Response target | Define the elapsed or staffed time allowed. |
| Assigned owner | Name the primary responder and backup. |
| Useful response | Define what counts beyond an automated receipt. |
| Breach action | Assign escalation when the response target is missed. |
How to put the process into practice
Measure a week of inquiry arrival times and current response delays. Include forms, calls, email, and referral messages so hidden queues are visible.
Assign coverage by shift or queue. Route existing-customer issues appropriately rather than mixing urgent delivery problems with new sales inquiries.
Test an inquiry during coverage and outside it. Verify assignment, notification, backup access, and reporting before promising the standard publicly.
Worked example
Illustrative example: a two-person sales team commits to a useful response within two staffed hours for quote requests received on weekdays. A Friday evening inquiry receives a receipt explaining Monday coverage. The timer and dashboard use the same staffed-hours definition, preventing misleading weekend breaches.
Common mistake to avoid
An automatic email that says someone will respond does not answer the buyer's question. Count acknowledgments separately from useful responses and check whether faster replies produce qualified conversations.
What to measure after implementation
Report median and slowest response ranges, unassigned inquiries, and qualified conversations by source. Investigate outliers instead of rewarding empty replies.
Review the first completed worksheet
Before expanding this process, have the responsible manager check one completed record against the original evidence. Confirm that another team member can understand the next action without asking the author to explain it. Record any missing information as a revision to the worksheet. Choose a review date based on how often the workflow runs; a weekly process gives feedback sooner than a quarterly one.
