Scope and method for this example
The fictional assessment follows five recent service jobs from accepted sale to first delivery milestone. The sample includes completed and delayed jobs. It is deliberately small: the findings identify questions and pilot opportunities, not statistically representative conclusions about an entire business.
Findings and evidence register
| Finding | Evidence in this example | Interpretation | Next action | Owner |
|---|---|---|---|---|
| Incomplete delivery handoffs | Three of five sampled jobs lacked a recorded prerequisite | The receiving team cannot reliably confirm readiness | Pilot a minimum accepted handoff on the next five jobs | Delivery manager |
| Unclear scope approval | Two sampled jobs included extra work without an approval record | The team has no shared boundary for additional requests | Define request, estimate, and acceptance steps | Project lead |
| Capacity measured as headcount | The weekly plan does not separate preparation and review roles | Review availability may constrain delivery despite spare general hours | Compare next-week demand and available hours by role | Operations manager |
| No common due-date definition | Two reports use different rules for rescheduled jobs | The current trend cannot be compared consistently | Agree a due-week cohort definition and reconcile a sample | Scorecard owner |
Choose the first intervention
In this example, the first pilot is the accepted handoff because missing prerequisites appear before delivery begins and the team can test a change without replacing software. The sponsor assigns a delivery manager, limits the pilot to the next five jobs, and records the readiness decision for each one. Other findings remain visible in the backlog.
Define acceptance before the pilot
The pilot record must identify the receiving owner, scope reference, required customer inputs, capacity review, and any blocker. The manager checks whether the first milestone begins with fewer missing-information interruptions. A better checklist completion rate alone does not prove better delivery.
Keep uncertainty visible
The review-capacity constraint remains a hypothesis until the team compares available hours and remaining demand by role. Staff observations are useful leads but should not be presented as measured time savings. The sample report separates findings, interpretations, and tests for this reason.
How to adapt the sample
Replace the fictional evidence with traceable records from your own workflow. Keep the scope boundary, sample method, limitations, next action, and owner. Add specialist review where a proposed change touches technical, quality, safety, or professional responsibilities.
